Integrations / Practical guide
Turn website inquiries into usable sales records, with clear ownership from the form submission through delivery and follow-up.
By Jack Ring
A quote request needs to become something your sales team can act on. Decide who receives it, what information they need, and what should happen when an existing customer submits another request. A successful connection is only one part of that process.
For a straightforward website-to-Lead project, my recommended starting point is a website form, a supported integration platform, and NetSuite REST web services using OAuth 2.0. The integration platform, often called iPaaS, handles the mapping and delivery between the systems.
Recommended flow: Website form → integration platform → NetSuite Lead → sales follow-up.
A WordPress form tool such as Gravity Forms can collect the inquiry. Before choosing middleware, ask the provider to identify the exact NetSuite connector, API, and authentication method it supports. A product described as having a NetSuite connector may not support the connection you intend to build.
I favor certificate-based OAuth 2.0 machine-to-machine authentication for this type of unattended integration. MuleSoft documents that connection in its NetSuite REST Connector; it is one example to evaluate, rather than a required vendor. [2] [3]
Using middleware and selecting machine-to-machine authentication are architectural recommendations for this approach. Oracle does not require every website integration to use an iPaaS platform or this particular OAuth flow.
Oracle recommends REST web services with OAuth 2.0 for newly built integrations beginning with NetSuite 2026.1. Its published plan prevents new SOAP integrations and new integrations using token-based authentication beginning with 2027.1, with SOAP removal scheduled for 2028.2. Review that roadmap when evaluating a connector. [1]
For a routine Lead creation requirement, evaluate the native REST record service before commissioning a custom endpoint. A custom RESTlet may be appropriate when the business requirements need additional processing; that choice should follow the scope.
NetSuite uses the customer entity for lead, prospect, and customer stages. The REST record resource is customer; the approved status must correspond to the intended Lead stage. Creating a Lead does not automatically mean creating a separate Contact record. [4]
Agree on the form-to-NetSuite mapping before implementation. Identify the required business information, approved status and subsidiary values where applicable, assignment rules, and any custom fields. Decide whether existing-customer inquiries create a new Lead, update an existing record, or follow another agreed process.
The public Records Browser helps identify candidate fields. Confirm REST field names and operations through the REST API Browser and account metadata. Your account's customizations and validation rules still need to be checked. [5]
| Owner | Responsibility |
|---|---|
| Website and integration team | Form delivery, mapping, secure private-key storage, duplicate handling, retries, and monitoring. Identify who maintains the connection after launch. |
| NetSuite administrator | Integration setup, certificate mapping, a role with appropriate permissions, account-specific field guidance, and review of the resulting Sandbox records. |
| Business owner | Form content, sales assignment, follow-up expectations, and the treatment of existing customers. Approve any Contact or attachment requirements. |
For certificate-based OAuth 2.0, the integration securely retains the private key. NetSuite maps the public certificate to the application, entity, and role. Sandbox and production require separate configuration. [2]
My acceptance checks cover what happens after someone presses Submit:
A form confirmation should not be treated as proof that a Lead exists in NetSuite. Decide how the integration confirms delivery, retains a submission reference, and alerts its owner when delivery fails.
