How to Match Bank Data in NetSuite

Compare bank activity with your NetSuite records and resolve the items that need attention.

By Jack Ring

Matching starts with a comparison

The bank shows what passed through the account. NetSuite shows what your company recorded. Matching connects the two so you can identify the activity that belongs in the statement reconciliation.

Before starting, confirm the bank data import succeeded. Review the bank statement import guide if you need to check the upload.

A note about NetSuite 2026.2

In 2026.2, Match Suggestions replaces the former Review tab on Match Bank Data, and Transactions to Match replaces To Be Matched. Manual actions use Match and Submit and Clear and Submit; a separate submission step is no longer required for those actions.

Earlier screens use Match or Clear, followed by Review and Submit. Follow the labels in your account. Submission makes transactions available for reconciliation; it does not complete the statement reconciliation.

1. Open the account

Go to Transactions > Bank > Bank Matching and Reconciliation > Match Bank Data. Older menus may list Match Bank Data directly under Bank. Select the bank or credit card account.

If the account is unavailable, ask your administrator to check your access and the account's Use Match Bank Data and Reconcile Account Statement setting.

2. Review suggestions

Open Match Suggestions and inspect the proposed transactions before accepting them. Reject incorrect suggestions so the bank activity can be handled manually. In older versions, review automatic matches on the Review tab.

Check the transaction detail, not just the amount. Two payments can have the same value while representing different customer receipts. Review dates, references, names, and supporting records before choosing.

3. Match the remaining activity

  1. Open Transactions to Match, or To Be Matched on older screens.
  2. Filter the imported bank activity and NetSuite account transactions by date, type, or search text.
  3. Select the bank transaction or transactions and the corresponding NetSuite transactions.
  4. Check that the selected activity represents the same event and the Difference is zero.
  5. Click Match and Submit in 2026.2, or Match on older screens.

A match can include several transactions

A bank line may correspond to one NetSuite transaction or a group. For example, a $1,500 bank deposit may relate to several recorded receipts. Investigate how the deposit was recorded before selecting the group.

For payments held in Undeposited Funds, review the Bank Deposits guide. A deposit that follows the actual bank grouping is often easier to trace. A zero difference alone does not establish that unrelated transactions belong together.

4. Investigate missing and duplicate activity

If a bank fee or interest receipt has not been recorded, use the appropriate transaction action, such as Add Charge or Add Deposit, where available. Verify that the entry is truly missing and use the correct account and classifications. Custom mandatory fields may require the full transaction form.

Exclude imported activity only when you have established why it should not be matched, such as a confirmed duplicate. Exclusion does not correct a duplicate general ledger entry. Resolve the underlying record when the error is in NetSuite.

Clearing marks an account transaction without matching it to an imported line. Use it when supported by your reconciliation evidence. Do not clear old or voided entries simply to remove them from the list.

5. Use rules deliberately

Reconciliation rules can reduce repeat work. Matching rules find existing transactions; auto-create rules can generate and match new transactions from qualifying bank activity.

The Make Auto-Create Rule From Selected Transactions option applies to eligible one-to-one matches. Auto-create rules are account-specific and have additional criteria. Review the checkbox before confirming a match and verify the resulting rule. Do not assume every manual match should create a rule.

6. Review the submitted transactions

In 2026.2, inspect submitted matches and cleared transactions on the Review tab of Reconcile Account Statement. If something is wrong, use the applicable undo action and correct the selection.

On older screens, review the pending matches and cleared transactions and click Submit. The next step is the account statement reconciliation.
