If your company runs on NetSuite and you would like to assure that there are no inventory movements of any kind across your organization during an inventory count, then this simple workflow could help.
Get all your ducks in a row and use this simple workflow method to freeze inventory-related transactions during an inventory count. This method freezes all inventory movements across your entire company when active.
Aside from the simple solution, Left Ledger also offers its clients a scripted approach to this method for a more intuitive experience. Our script simply recognizes when a count is active, automatically locks down the right transactions in any applicable location.
First, make sure that you are building the workflow and testing it in a sandbox environment and that it is in "Testing Mode" so as to not disturb others who may also be working in your sandbox. Create a new workflow and using the "SubTypes" field, define the types of transactions that will effect inventory in your NetSuite instance. Typically this includes Item Fulfillments, Item Receipts, Transfer Orders and Inventory Transfers. In this instance, the company utilizes Work Orders. We are sure to have this workflow include execution on Assembly Build transactions.
Additionally we define "Create" as an entry point to trigger our workflow action's execution.
Immediately after save.
Click "New Action" at the bottom of the workflow actions panel to the right.
Choose the "Return User Error" workflow action type from the list of possibilities.
Define an internal ID and set the error message text in the "Parameters".
Review the final workflow after saving it.
Go try and create an inventory-effecting transaction to test that it does not save and the error message is displayed. Note that you will have to manually set the workflow to be "Released" and remember to toggle it back to "Not Initiating". You can also modify this approach to consider certain locations for a more effective strategy.
